About the Role
The Proposal Specialist plays a critical role in supporting the operations team through collaboration with Sales and other stakeholders, aiding in the development and submission of compliant, high-quality proposals for government contracts.
This position involves assisting in the preparation, formatting, and management of proposal documents to ensure adherence to solicitation requirements. The Proposal Specialist will be responsible for supporting the creation of compliance matrices, checklists, and document management systems to maintain version control and meet submission deadlines.
Collaboration is central to this role, as the Proposal Specialist will work closely with technical experts, business development teams, and other internal stakeholders to gather, organize, and review technical inputs and past performance data.
The successful candidate will also contribute to quality assurance efforts by conducting initial compliance checks and proofreading proposal materials for grammar, consistency, and clarity.
A strong focus on process improvement is essential, as the RFP Specialist will provide feedback to enhance proposal workflows and document management practices.
Knowledge of government contracting procedures and Department of Defense (DOD) acquisition processes is highly beneficial for this role.
Responsibilities:
- Proposal Support:
- Assist in preparing and formatting proposal documents, ensuring compliance with RFP requirements.
- Support the creation of compliance matrices and checklists to track proposal requirements.
- Gather and organize technical inputs and past performance information for proposal sections.
- Document Management:
- Maintain proposal documentation, ensuring version control and adherence to deadlines.
- Contribute to the organization and upkeep of a repository of reusable proposal content, templates, and past performance materials.
- Collaboration and Coordination:
- Collaborate with cross-functional teams, including technical experts and business development, to gather inputs for proposals.
- Coordinate and communicate proposal progress with internal stakeholders, ensuring alignment with deadlines and submission goals.
- Compliance and Quality Assurance:
- Conduct initial compliance checks to ensure all proposal components meet solicitation requirements.
- Review and proofread proposals for grammar, consistency, and clarity.
- Familiarity with FARS/DFARS is a plus
- Process Improvement:
- Provide feedback and insights to improve proposal workflows and document management practices.
- Stay informed about best practices in government contracting and DOD acquisition processes.
Qualification:
- Education:
- Bachelor's degree (common among military officers).
- Military Experience:
- Experience in roles such as Contracting Officer, Logistics Officer, Operations Officer, or Administrative Officer is preferred.
- Familiarity with DOD procurement processes, operational planning, or project coordination is a plus.
- Skills and Attributes:
- Strong organizational and time management skills, with the ability to meet tight deadlines.
- Excellent written and verbal communication skills.
- Proficiency in using office tools (e.g., Microsoft Office Suite, SharePoint).
- Detail-oriented with a focus on accuracy and compliance.
- Ability to work collaboratively within a team environment.
- Preferred Qualifications:
- Familiarity with FAR/DFARS regulations or experience supporting DOD contracts.
- Willingness to learn proposal development tools and methodologies.
- Interest in obtaining APMP (Association of Proposal Management Professionals) certification.
